Glasgow Short Film Festival is looking for a Volunteer Coordinator to join their team on a freelance contract.

About the role

Reporting to the Festival Coordinator, the Volunteer Coordinator will be responsible for managing the festival’s 40+ volunteers; preparing and revising a shift rota, organising and hosting an induction session, and supporting the volunteers during their festival shifts. At all times they will adhere to the festival’s Volunteer Framework.

The Volunteer Coordinator will work with the Festival Coordinator and other team members to identify the various volunteer roles required of the festival and to devise a rota of suitable volunteers, based on the availability they have specified in their application. The Coordinator will revise this rota based on feedback from the volunteers about changes to their availability and/or their specific volunteering interests or skills. They will also collate information such as tee-shirt size and any special access requirements individual volunteers may have.

The Volunteer Coordinator will organise and host an induction session for volunteers on Sunday 19 March, introducing the festival team, the venues, the various volunteer roles and all other aspects of the festival.

During the festival week, the Volunteer Coordinator will be responsible for volunteers’ welfare and happiness, as well as any task-specific training or support that may be required. Where there are absences they will find replacements, and they will respond to the festival team’s requests for additional volunteers for specific events or activities. They will also ensure volunteers’ breaks are covered. They will be in regular communication with the Festival Coordinator and Venue Coordinators, working together to support one another.

After the festival the Volunteer Coordinator will collate feedback from the volunteers as well as preparing their own post-festival report.

    (freelance contract, flexible hours, but must be available to work on site 19-26 March)

Duties
  • Draft and revise volunteer rota
  • Deliver volunteer induction and provide volunteers with all the materials needed (e.g. teeshirts)
  • Communicate regularly with Festival Coordinator, Venue Coordinators and other team members
  • Coordinate volunteers on the ground in multiple locations, find replacements where necessary
  • Provide any training required for specific volunteer roles
  • Anticipate and respond to any special support requests by volunteers
Person specification (essential/desirable)
  • Experience of working with volunteers or managing teams of people (E)
  • Experience of working in a festival context (E)
  • Computer literate, ideally on both Mac and PC (E)
  • Positive, compassionate, outgoing and resourceful attitude, an excellent communicator (E)
  • Understanding of access requirements (D)
