Personal Assistant to the Directors

Genesis Cinema is looking for an energetic and proactive Personal Assistant to provide business and personal support two busy Directors.

This is an exciting opportunity for the right candidate to work in a dynamic organisation helping to deliver worthy and important community based entertainment to the local and wider audiences of London.

We are a 1,030 seat, five screen family-owned independent cinema in London’s ever-changing East End, and our site has been entertaining customers for over 120 years. Alongside our general release and indie film program we host a wide variety of events and festivals, from poetry slams and comedy nights to major film festivals, always ensuring we work closely with the local community. We are open 7 days a week and, alongside our cafe, offer hot-desking space during the day. We have recently expanded even further by opening a new outside drinking and dining experience, The Yard.

The Role

Based: At the Cinema in Whitechapel

Role Requirements

Preferred not essential:

– Previous experience in a similar role – assisting / admin / office managing

– Proven experience with diary management

Essential

– Microsoft Office proficient – Outlook, Excel, Word and all relevant applications

– Mac proficient

– Discretion and competence in handling sensitive information

– Strong organisational skills

– Problem-solving approach

– Good interpersonal skills

– Multi-tasker

– Able to work well independently

– Effective communicator on the phone, in writing and in person

– Ability to work to deadlines

Duties

– Managing 3 inboxes; RSVP’ing to events and meetings invites, highlighting urgent emails.

– Extensive diary management, making sure all diary events include up-to-date information with reminders set, travel routes planned taxi’s booked, relevant dress code noted etc. Keeping ahead of any Insurance, membership renewals, business and personal anniversary reminders and briefing the Directors on a daily basis

– General office admin work, minuting meetings and assistance to the Accounts Manager when required, liaising with clients on behalf of the directors. Daily use of Microsoft Outlook, Word & Excel, iCalendar, Xero, Hubdoc, ScanSnap, Remote Desktop

– Researching and handling the Directors business and personal insurances, travel, dining, film festival and hospitality events, tickets, visas and itineraries.

– Looking after the directors on a daily basis, keeping sensitive and private financial information, running errands, preparing the office etc.

– Any other assistance as required by the Directors
