ActOne Cinema is looking for an Operations Manager to join their team.
ActOne is a community cinema located in Acton W3 which opened October 2021. With two 60-seat theatres and a cafe/bar it is a beloved and popular destination in the West London area. In addition to programming a wide variety of mainstream and arthouse movies, ActOne is a vibrant hub for the local community providing a venue that hosts many different groups and organisations.
Job role
- To oversee, across multiple departments, the day-to-day operations of the cinema and Cafe/Bar (with the FOH Manager) and the projection department
- To manage all the due diligence relating to Health & Safety, Fire Safety, Legionella Management and Risk Assessments etc
- To ensure that routine maintenance and servicing is conducted on all equipment used by FOH staff and in the Projection Department
- To have a working knowledge of the Point of Sale/Website CMS/Projection TMS and day-to-day operation of the Cinema and Cafe/Bar to maintain the smooth running of the business
- To manage customer service and the membership database and answer queries by email
Main responsibilities (Cinema/Projection Department)
- To ensure the film schedule/website is updated promptly
- To have a comprehensive knowledge of the film program and the local audience to understand the programming choices
- To Assist the Events and Programme Manager and the Social Media Manager with content management/events/marketing – this includes coordinating digital content, newsletters and information about events/promos
- To manage communication with the volunteer pool and ensure they are supported and briefed on their role and responsibilities
- To update the staff/volunteers (where necessary) and the board via newsletter on the events and operational changes month-to-month
- To ensure the organisation of the projection department with film delivery/transport/testing/scheduling and managing additional content where necessary
- To assist the Events and Programme Manager with the operational requirements of events and private hires
- To manage relationships with all contractors/service providers and ensure all equipment/service is operating up to standard and looked after
Administrative duties
- To ensure all staff records are stored/updated correctly and that staff are trained and briefed on their responsibilities – this includes making sure they have the relevant qualifications and certificates
- To deal promptly and firmly with any issues caused by customers or members of the public causing disruption. To escalate where necessary and safeguard staff with training and resources
- To keep record of and test the systems that maintain a safe working environment; Fire prevention system, Health & Safety, Legionella etc.
- To update and develop job roles/responsibilities where relevant in order to maintain and efficient operation of the cinema
- To provide round-ups and reports on financial performance of films/events/products for the insight of the board
- To keep track of staff rota and labour spend, managing budget where necessary
- To coordinate with the FOH manager to ensure the best value/quality products are ordered to suit budget and minimise wastage
Essential skills
- High attention to detail
- Strong command of written English language
- Well organised and able to juggle multiple tasks- Confidence using technology
- Strong communication skills, able to deal with people at all levels internally and externally
- A love and good knowledge of cinema
Desirable skills
- Knowledge or experience of film marketing or distribution
- Knowledge or ability to handle basic technical operations of cinema projection equipment (knowledge of Theatre Management Systems such as Rosetta Bridge a plus)
