The UK Cinema Association (UKCA) is seeking a new full-time Office Manager

The UK Cinema Association (UKCA) represents the interests of UK cinema operators – ranging from the largest national circuit companies to a diverse range of smaller single site venues – with government at the national, regional and local level, promotes the sector with national and local media and also works with colleagues across the wider film industry to address shared challenges.

With UK cinemas now recovering strongly from the impacts of the pandemic, there is a huge degree of optimism and positivity around the future of the sector in the immediate and longer-term. The Association will play a key role in ensuring that that mood translates into increased box office and admissions.

About the role

The UKCA is looking for a proactive, organised and motivated individual with good communication skills to join its small team and help develop support for its members.

The primary focus of this role is on administrative and financial support, ensuring that the UKCA office works smoothly and efficiently, and that communications from the Association to its members are timely and helpful.

The successful candidate will be responsible for providing general administrative support to the UKCA team and managing our office. They will also take the lead in managing our finances, processing invoices and payments and ensuring that the Chief Executive is kept abreast of any issues – this role involves close liaison with our outsourced financial advisors.

We also want the successful candidate – alongside their core duties – to take an interest and where appropriate get involved with aspects of our policy work. This could for example involve representing the Association at meetings or undertaking background research on key issues. We also have a well-established network of regional branches and undertake a programme of regional meetings twice a year.

The role will also involve support for our sister organisation Cinema First, which works with colleagues across both cinema operation and film distribution to promote cinema-going, in particular in support of the Meerkat Movies cinema ticket promotion.

The successful candidate will work across the following areas.

General administrative duties in support of the team, including:

  • Dealing with enquiries from members and others
  • Co-ordinating travel
  • Setting up meetings
  • General office management duties
  • Taking minutes for meetings
  • Limited PA support to the Chief Executive
  • Assisting team members when required with ad hoc activities
  • Assisting with the Association website and social media channels
  • Assisting with correspondence
  • Event support, including regional meetings and our annual conference.

Financial support duties, including:

  • Expense and invoice tracking and processing of finances in co-operation with our outsourced advisers
  • Preparation of monthly cashflow reports for the Chief Executive
  • Preparation of regular payment schedules
  • Bank account/credit card reconciliation
  • Support for the preparation of VAT returns, corporation tax returns and annual audits as necessary
  • Processing of quarterly payments for the Meerkat Movies promotion to participating cinemas.

About you

The UKCA is seeking someone with:

  • At least 12 months’ experience in a similar role
  • Some previous experience in financial management is essential, ideally with the Xero software
  • Strong organisational and communication skills
  • A good eye for detail
  • A proven ability to manage a busy and varied workload
  • A high level of IT proficiency: (PowerPoint, Word, Outlook, Excel)
  • An ability to keep a cool head and maintain focus in busy periods
  • A team player with a can-do attitude
  • A high level of motivation and enthusiasm
  • Ideally an interest in cinema and film.
