Sheffield DocFest is looking for a Box Office Manager.

The Box Office Manager is responsible for the smooth running of all aspects of the festival box office, from set up through to delivery on site. This includes the configuration, testing, and monitoring of the box office system (Eventive), and the organisation, training, and support of the box office and front of house teams. The efficient provision of tickets, passes, and access to events for both public and industry audiences is key, with excellent standards of customer service expected at point of sale and front of house. Accurate assessment, adjustment, and reporting of sales data is critical, both in the lead up to, and during, the festival itself. Collation and presentation of data post-festival are also essential. This is a role that requires the successful candidate to be able to focus deeply on system configuration and details, but also be able to lead the box office team in the delivery of the system as it rolls out to customers at the festival.

Key Responsibilities

  • Oversee and deliver all aspects of the festival box office and front of house at Sheffield DocFest 2023 edition
  • Lead on day to day communications with the box office system provider (Eventive) and be the main point of contact for the system within the festival organisation
  • Configure the box office system to maximise its effectiveness and efficiency, making sure single tickets, public ticket packages, and industry delegate passes are set up appropriately and delivered effectively during the festival
  • Set up audience allocations and splits, continuously monitoring and adjusting as required
  • Set up venues in the box office system ensuring capacities are correct
  • Working with the Operations team, make sure that industry delegate information is importing correctly from the festival management system into the box office system
  • Make sure the required audience data is being collected within the customer journey
  • Set up all in-person and online events in the box office system, adding copy and images, event times etc
  • Implement ticket pre-selection systems for different audience groups as required
  • Identify staffing requirements, including volunteers, for all box office locations and front of house areas
  • Be part of the interview process for the box office team, with the Head of HR
  • Line manage Box Office Coordinator and Assistants
  • Prepare box office instruction manuals for training and festival records
  • Train box office staff
  • Oversee the set up of box office operations and oversee staff at various locations during the festival
  • Make sure the required equipment and furniture has been procured for all box office operations
  • Oversee all customer service to a high standard, handling complaints and issues as they arise
  • Post festival, complete a job handover and feed in to the debrief session

This is a non-exhaustive list of deliverables and from time to time, the postholder may be required to undertake other duties that may be reasonably required.
