Pavilion is seeking an organised and friendly Administrator who is adept at juggling an array of tasks involved in the day-to-day operation and development of a small but ambitious arts organisation.

Employment details
  • 15 hours per week, 6 month fixed term contract.
  • £22,000–£25,000 pro rata, dependent on experience.
  • Normal hours are 10am–6pm, but you may sometimes be required to work outside these times.
  • We are open to discussing the possibility of reduced hours, remote working, flexible start and finish times, or compressed hours. Although remote working is an option, the successful candidate will be expected to work at Pavilion’s studio in Leeds city centre for approximately half the weekly hours.
Overview

We are seeking an organised and friendly Administrator who is adept at juggling an array of tasks involved in the day-to-day operation and development of a small but ambitious arts organisation. The right person will have previous experience working in the arts sector, proven organisational skills, and an eye for detail with numbers and words.

Working with the Director as well as the artists we engage in our programme, the focus of the role is to assist in managing the core infrastructure of the organisation which centres around financial management, communications, fundraising and reporting/evaluation. The role will also support the nuts-and-bolts delivery of Pavilion’s programme of commissions, screenings/events, and sector support activities.

The role will provide the successful applicant with a diverse insight into the various workings in a small arts organisation. Although this is a short-term contract, there are opportunities for the role to be expanded and extended.

About Pavilion

Pavilion (est. 1983) is a visual organisation based in Leeds, working at the intersection of art and cinema. The organisation’s work is focussed on the production and presentation of critically-engaged contemporary art, and on the development of artists in the Leeds City Region. We run a programme of screenings, exhibitions and live events, often in partnership with galleries, museums, cinemas and other community groups. We produce high quality new work that is rooted in our local context and has international impact and reach. We provide a platform for creative practitioners working with film and video to move their practise forward.

In recent years we have worked with artists including Jatiwangi Art Factory (Indonesia), Luke Fowler, Aurélien Froment, Lucy Skaer, Stephen Sutcliffe, Grace Schwindt, Melvin Moti, Céline Condorelli, Matthieu Kleyebe Abonnenc, Ryoko Akama and many more.

Our current activities includes an ongoing programming partnership with Hyde Park Picture House which focuses on developing audiences for artists’ moving image; the production of a new site-specific moving image commission with Canadian artist Julia Feyrer; running the fortnightly Artists’ Moving Image Network critical forum; and developing Village Video, a collaborative video work with seven artists from the Leeds City Region.

Pavilion is a company limited by guarantee and a registered charity. The organisation is overseen by volunteer board of directors.

Roles and responsibilities

Core Tasks

  • Communications with audiences, beneficiaries and partners;
  • Maintaining social media presence (Facebook, Instagram) and communications to Pavilion’s mailing list.
  • Preparing funding applications and reports;
  • Implementing efficient systems for scheduling and managing Pavilion’s artistic activities and reporting obligations;
  • Maintaining budgets.

Essential

  • Excellent English language written and verbal communication skills including writing
  • Ability to adapt communication styles to different people including organisational partners, audiences, funders, artists.
  • Reliability, punctuality and a self-motivated approach to completing work;
  • Excellent organisational and interpersonal skills;
  • Excellent attention to detail.
  • Ability to work to tight deadlines.
  • A deep understanding of and active commitment to equal opportunities;
  • Good working knowledge of the contemporary visual arts sector in the UK and internationally.
  • Good working knowledge of Microsoft Word, Excel.
  • Good working knowledge of social media platforms (Facebook, Instagram) and digital communications platforms (Mailchimp, Zoom).

Desirable

  • Experience working in a small-scale arts organisation.
  • Experience working on MacOS.
  • Working knowledge of some of the following: Photoshop, WordPress, GoogleDrive (Forms, Sheets, Docs), Mailchimp, Quickbooks, Vimeo and current digital video formats.
  • Particular interest in artists’ moving image and media arts practise.
  • Working-knowledge of current GDPR regulations.
